Most distribution businesses we meet run on a mix of an accounting package, spreadsheets per warehouse and a WhatsApp group for the field team. Stock figures drift between depots, nobody is sure which batch expires first, credit is extended on memory, and orders taken on the road are re-typed at the office. The work usually spans three connected parts. A warehouse management system (WMS) that controls receiving, putaway, bin locations, pick and pack and cycle counts, driven by barcode or RFID scanning on mobile devices. Inventory management that tracks stock across warehouses, depots and vans, with batch, lot and expiry control. And distribution management that runs orders, van sales, route planning, delivery proof, returns and customer credit, with a mobile app for sales reps that keeps working without signal.

A warehouse and distribution system has to hold up on a busy dispatch morning, in a van with no signal and at month-end reconciliation. These are the parts we treat as core, not extras.
Scanning at every stock movement
Goods are scanned when they are received, put away, picked, loaded and delivered, using barcodes or RFID on rugged handhelds or ordinary Android phones. Every movement is recorded against a location and a user, so stock on the system matches stock on the shelf and differences show up in the next cycle count, not at the annual audit.
Offline first for people on the road
Sales reps and drivers often work where mobile data is weak. Their apps store customers, price lists, stock and credit limits on the device, take orders and delivery confirmations offline, and sync when a connection returns, with clear rules for what happens if two changes collide.
Batch, expiry and credit rules enforced by the system
Pick lists can follow first-expiry-first-out for perishable and regulated goods, and expired or held batches are blocked from dispatch. Customer credit limits and overdue balances are checked when an order is taken, so a rep sees a blocked account before the goods leave the van, not after.
Connected to your accounting or ERP
Invoices, receipts, credit notes and stock valuations post to the accounting or ERP system your finance team already uses, through its API. Each record keeps a cross-reference between the two systems, so retries update rather than duplicate, and failures go to a review queue instead of disappearing.
